Document Controller Responsibilities

•     Manage, process, and control all types of project documents (technical, administrative, contractual) in a structured and timely manner.

•     Maintain and update digital and physical document management systems to ensure accurate and secure storage and retrieval.

•     Set up and organize project folders, implement filing structures, and allocate drawing and document numbers.

•     Review, edit, and update technical documents (e.g., specifications, manuals, workflows) to ensure accuracy and consistency.

•     Distribute approved project documents to internal teams and relevant stakeholders, ensuring version control and proper tracking.

•     Maintain confidentiality and security of sensitive and proprietary information in compliance with organizational policies.

•     Coordinate with cross-functional departments (engineering, HR, procurement, etc.) to manage and track document flow.

•     Ensure that all reports, drawings, blueprints, and other technical documents are collected, registered, and archived properly.

•     Communicate document control procedures and updates to the team in collaboration with the Project Manager or Design Manager.

•     Assist with ISO audits by maintaining quality documentation and supporting compliance efforts.

•     Prepare regular document status reports, registers (incoming/outgoing, RFIs), and other project-related logs.

•     Create and maintain templates and standardized forms for streamlined documentation processes.

Administrative Responsibilities

•     Oversee and coordinate day-to-day administrative and office operations to ensure an organized and efficient work environment.

•     Maintain accurate employee records and project-related documentation in both digital and physical formats.

•     Manage inventory of office supplies and stationery; place orders and maintain optimal stock levels.

•     Supervise office cleanliness and facility upkeep, coordinating with cleaning and maintenance staff.

•     Support office space planning, facility maintenance, and minor renovations as required.

•     Ensure proper filing, archiving, and easy retrieval of organizational records.

•     Provide high-level administrative support to management and teams, including document preparation, scheduling, and reporting.

•     Assist with IT setup and coordination related to document control systems or new staff onboarding.

•     Promote a safe and policy-compliant work environment for all employees.

•     Liaise with vendors, service providers, and external partners for office-related support and supplies.

•     Prepare and distribute internal communications, memos, and notices to keep staff updated on company policies and activities.
